How It Works

The Full Rent Collection System

Rent Due on the 1st

Rent is due on the 1st of each month. Tenants pay through the Rentvine portal via ACH bank transfer or card — from any device, with autopay available. No checks, no drop-offs, no ambiguity about whether payment was received.

Automatic Late Fee

If rent is not paid by the end of the lease's grace period, a late fee is assessed automatically through Rentvine — no manual intervention, no exceptions. The tenant receives an immediate notification. Consistent enforcement is what keeps on-time payment rates high.

Direct Follow-Up

If payment isn't received after the late fee, VPMG follows up directly with the tenant — written notice via the portal and direct communication to understand the situation. Most non-payment issues are resolved at this step without further escalation.

Pay or Vacate Notice

If rent remains unpaid past the statutory period, VPMG issues a formal Pay or Vacate notice in full compliance with Washington State law — properly served and documented. This is the legal prerequisite for any eviction proceeding and is handled precisely every time.

Owner Disbursement

Once rent is collected, owner disbursements are processed monthly via ACH direct deposit. Each payment is accompanied by a detailed statement showing rent received, management fees, maintenance charges, and net distribution — every dollar accounted for.

Eviction Coordination

Rare — but fully managed when necessary. VPMG coordinates the entire eviction process: all required notices, documentation, and attorney coordination for court filing under Washington State's unlawful detainer statutes. You are kept informed at every step.

The 14-Day Pay or Vacate Notice

Under Washington State law (RCW 59.18.057), if a tenant fails to pay rent, the landlord must serve a written 14-Day Notice to Pay or Vacate before filing for eviction. VPMG handles this process precisely — a defective notice can restart the clock and delay the entire proceeding.

Notice drafted — states the exact amount owed, the payment deadline, and the consequence of non-payment

Properly served — delivered to the tenant in compliance with RCW 59.18.057 service requirements (personal delivery, or posted and mailed via first-class mail — HB 2664 replaced certified-mail requirements as of June 11, 2026)

14-day clock starts — the tenant has 14 days to pay the full amount owed or vacate the property

Service documented — proof of service recorded and retained for any subsequent court filing

If unpaid after 14 days — VPMG coordinates with a landlord-tenant attorney to file an unlawful detainer action in Clark County Superior Court

In most cases, a properly served 14-day notice is enough to prompt payment. When it isn't, the documentation is already in place to move forward without delay.

Every transaction through Rentvine is timestamped and traceable — critical documentation if a dispute ever reaches small claims court or a formal eviction proceeding. Cash and check payments introduce ambiguity; digital payments eliminate it entirely.
